Event Template
Managing your community events just got way easier with Atomcal! It lets you create multiple guests templates to match the flow of each event.
Template Creation Area
Lets start with creating our first guest template file for later usage:
System templates
Guest templates can either be created from scratch or selected from a number of predefined templates like Basic template, DnD template, WoW template ETC.
Custom templates
We can also create custom guest template in Atomcal which allows adding custom guest signup options (tickets) and event configurations.
The save changes button indicates you're editing a template and can commit your update.
Ticket Detail
For any Event template, you can have multiple tickets for users to select when they signup.
- Ticket Icon: Icon can be selected from given options or you can also upload new one from the gallery!
- Ticket Name: Create your own unique ticket name.
- Guest Specifications: This includes entering guest name and allocation number of seats for this entry.
- User can always create more tickets to the template to level up their event settings!
Event Settings
The Settings icon is organized into labeled sections, offering more control to define event settings.
1. Host Settings
The host settings section gives you control over who manages the event and these features provide flexibility in assigning responsibilities and defining registration rules.
- Add creator as Host: If toggled on, the person who creates the event is automatically added as a host.
- Allow multiple Host: Lets you assign more than one host to the event if enabled.
- Host Label and Icon: Personalize the host's appearance with label and an icon. This helps guests easily identify hosts during the event.
- Registration Deadline: Set a time after which guest registration will be closed.
- Private Event Option: Toggle this setting to make the event private. They can only be accessed by users with an invitation or link.
- Event Capacity: No matter how many seats each ticket type allows, the event as a whole won’t accept more guests than the total seat limit is defined, a helpful way to control overall capacity.
2. Tickets and Spec Settings
This setting allows you to customize tickets and specs for your event,
- Ticket Label: Customize the label for tickets that fits the event.
- Allow Multiple Tickets: Guests can register for more than one ticket for the same event. Make sure to turn this toggle on if you want to allow guests to register for multiple tickets.
- Specs Label: Add labels for each spec to help guests understand what each spec means.
- Allow Multiple Specs: If enabled, a guest can choose more than one role/spec.
- Enable Waitlist: Waitlist experience for guests when tickets are full.
- Customize how the waitlist is displayed to guests, including icon and label section.
- Set a limit on how many people can join the waitlist. If the capacity is set to 0, it is treated as unlimited.
- Add personalized text or instructions for users joining the waitlist.
Note: Users will not be added to the waitlist unless it is enabled.
3. Status Settings
- Allows guests to update their status, such as confirmed , late or tentative and upload custom icons to match each status.
Note: This option is available only after guests have signed up for the event. Guests on the waitlist or those without a ticket won’t be able to change their status.
Role Controls
Role settings allow you to control guest access to the event.
Allowed Roles
- This role allows organizers to restrict event registration to users with specific roles. By enabling this option, you can define user roles.
Banned Roles
- This feature allows event organizers to explicitly block specific user roles from registering for an event. When enabled, users with any of the selected banned roles will be prevented from signing up.
Enable Assign Roles
- When this setting is enabled, the system will automatically assign predefined roles to guests as they register for the event.
Guest Registration Form
It enhances the signup experience for guests.
If the registration form is enabled for the event, guests will see the form upon confirming their attendance in Discord. Once completed, the event host or creator will be able to view the submitted responses on Atomcal.
Ask guests custom questions at signup by enabling the form.
Users can add both a title and description when filling out the registration form, to provide more detailed event registration information.
